Adobe Acrobat Details! |
You've now seen two different methods for creating PDF files. They can either be created from CorelDRAW 9/10 using the Publish to PDF feature or "distilled" when printed from any application. While both of these methods will create a perfectly usable PDF file, there are a number of things you can do to dress them up a bit. So now we're going to talk about the Acrobat application which can do minor editing of PDFs in addition to making them more usable.
The Acrobat application is really not meant for major changes. If a word is spelled wrong, you can certainly fix it. Although if the font wasn't embedded, it will display in another font. You can also copy and paste text or graphics if the security level of the PDF file allows it. But most of the editing that you will do is related to adding functionality to the document rather than content.
One way to navigate the document is to use Thumbnails as shown at right. These are miniature representations of each page in the document. By double-clicking on a thumbnail you are automatically taken to that page in the PDF file. If thumbnails are not included in the file-meaning they display as solid gray-you can right-click in the Thumbnail window and select Create All Thumbnails.
Another way to navigate PDF files is using Booksmarks as shown at right. This is more or less like a Table of Contents where clicking on an entry will take you to that page. Creating these isn't as automated as Thumbnails, at least directly in Acrobat. Each bookmark has to be created directly by going to the place in the document where it will be linked and inserting the link. If you truly want to use bookmarks, it would be best to use page layout software that will automatically create them for you.
One great way to use Acrobat is to pass a document among several people for review. As the document is reviewed, each person can add Annotations. They look similar to "sticky notes" as shown at right. When they are closed, you'll simply see a small yellow note on the page. Clicking on it opens the window where you can actually read the note. You'll also see a list of annotations can be shown on the left side of the screen. Each person that reviews the document will be assigned a unique color and will be listed separately in the Annotations window.
One of the best features in Acrobat is one that many people don't even realize exists. You can open a Web page and have it automatically converted to PDF as shown at right. So that you don't get an unwieldy file with all of the linked pages, you can specify how deep for it to dig and which servers to search. This feature is especially good when the only documentation on a subject is online.
When you convert a Web page into a PDF, Booksmarks and Thumbnails are automatically created. Also the links on the Web page are automatically linked to the relevant pages in the PDF file or to the Web itself if the linked page isn't in the PDF file. Another great use is to capture a Web page that you've designed to show the client or to capture it for a presentation where you wouldn't have an open Internet connection.
While most of the time you'll want a document to be freely passed around, other times you want it to be more secure. The image at right shows the security options that are available when you save a document. Not only can you assign passwords, but you can also specify which features are available.
After setting the security, you can select File | Document Info | Security to see the security settings. Similarly you can see which fonts are stored within the document by selecting File | Document Info | Fonts as shown at right. Note that the first three fonts are stored correctly in the document. But the last font is not stored and will not display correctly if the correct font is not installed on the viewer's system.
This concludes our look at PDF files. You've learned how to create them and now you've seen how PDF files can be edited to get the maximum from them. For now, they will probably be most valuable to you as a way to provide artwork to others electronically in a file format that everyone can read. But the more you work with PDF, the more uses you will find for them.
